The job search process can be an exciting, yet daunting task for job seekers. Those re-entering the job search market – and those entering for the first time – are finding that applying for a job is not as quick and simple as it used to be. A process that used to involve merely submitting a resume and cover letter is now much more detailed, and job applicants are finding the process to be more time consuming than ever.

While applying for a job still involves the submission of a resume and cover letter, many companies are also having applicants create user names and profiles and fill out questionnaires before they are able to submit their applications. This can add tens of minutes – if not more – to the job search process, and can’t be avoided if an online submission is required. The good news is we’ve collated some feedback from recent job applicants and have put together some tips below that might help you speed up the process:

Have your cover letter ready to go

Before you start applying, have a basic cover letter written that can be tweaked and amended according to the job you’re applying for.

Select the option to pre-fill answers, if available

Some programs are designed where you can upload your resume, and it will pre-populate answers to an online questionnaire based on the information in your resume. This way, you don’t have to write your name, contact info, work history/dates, etc, over and over again. Select this option if it’s available – it will definitely save you time! Make sure, however, that you double-check it to make sure the information has been populated correctly.

Save your written answers to questionnaires in a separate document

Many job applications will include supplemental, but generic, questions to be answered. Questions such as “explain any employment gaps over the past 10 years” or “what are your salary requirements?” If you find yourself answering questions like this, copy/paste your answers and save them in a separate document on your computer – chances are that you will see the same questions again on another application. This way, you will have your answers all ready to go!

The most important tip – be patient!

While it may seem like you are answering the same questions over and over again, remember that you application and answers will be evaluated by a hiring manager who knows nothing about you. Sell yourself to them – take time and care to answer all questions accurately and professionally. Don’t get frustrated and rush your application.

What Is The Cover Letter?

Most people hate writing a cover letter even more than they hate preparing a resume! I recently worked with a job seeker who said that he refused to apply for any graduate roles that required a cover letter to accompany the application. This is was what I liked to call a “resume bomber” – someone whose aim is to apply to as many jobs as possible and just “hope for the best”. Unfortunately, he quickly realised that most companies not only require a cover letter, but demand a cover letter. If a hiring manager sees that a cover letter is missing from the job application, it is more than likely that the resume will be deleted immediately. From the viewpoint of a hiring manager – if the candidate cannot follow basic instructions in applying for a job, how can they be trusted to perform the job?

Before we begin to go through the importance of the cover letter, it is important to define exactly what the cover letter is and what purpose it serves.

The cover letter is an introductory letter to accompany the resume or curriculum vitae. The cover letter is not a job application, nor should it be a part of the resume or follow the conclusion of the resume.

In the competitive job environment where first impressions count and the time we have to impress the potential reader is becoming shorter and shorter, the most effective way to ensure that your application stands out from the competition is through a professionally written cover letter. There is, however, a fine line between a cover letter that enhances your application and a cover letter that can actually do you a disservice.

First impressions:

You may have the greatest personality and the exact skills required for a particular job, but without a compelling cover letter that attracts the reader’s attention immediately you will never get the opportunity to prove that you are the perfect candidate. Establish your reason for applying to the role within the first couple of sentences. As a job seeker you need to establish your “brand” and make it clear to the reader that you have unique attributes that make you the perfect person for the job.

Target your cover letter:

A “one size fits all” approach to job seeking does not work. There is no quick fix to getting a new job and a generic cover letter will be spotted from a mile away! The key to cover letter writing is to individualise the cover letter to the reader and make sure that they know that your letter has been written for their specific job. A targeted cover letter can help open doors and portray that professional image.

Forget the Clichés!

I can’t stand clichés! It’s my number one pet hate. When I read through a cover letter, I want the person’s personality to shine. The last thing I want to read is a cliché. As the hiring manager, I want to feel that what I am reading is a truthful assessment as opposed to statements that do not add any value to the person’s application.

The final point to remember…

If you are serious about your job search, you need to get serious about preparing a targeted cover letter to compliment your resume. As mentioned above, first impressions rule and to ensure that your resume is given a chance, you need your cover letter to shine. In the ultra competitive job environment, hiring managers are looking for any excuse to delete a candidate’s application. Do not let yourself down by failing at the very first step.

How to Write a Perfect Cover Letter

Preparing a highly targeted and personalised cover letter and you are already on your way to a brand new job. Obviously, you will need a professionally written resume also! By impressing the reader (hiring professional) and they will enthusiastically move onto your resume. Disappoint the reader and your resume will be deleted.

Will a perfectly written cover letter ensure that you get the job? Of course not. However, a poorly written cover letter will guarantee that your application will not get the attention that is needed to be one of the top candidates. In the current job market there are three areas of your cover letter that you need to pay special attention to:

Target the employer’s needs:

Too many times, we write our cover letter and resume from our point of view. From the perspective of the hiring manager they want to know that you have the skills to do the job you are applying for. If the employer is looking for a candidate who is going to need to travel and spend time outside of the office then you need to emphasise that travelling is something you are willing to do (and enjoy). If you do not feel that the job is right for you, then the easy solution is not to apply for the job. However, if you do decide to apply for a certain role then target the needs of the employer and the skills that they require from the perfect candidate.

Don’t be afraid to emphasise your previous achievements:

When applying for a job you need to prove that you are the best candidate. The only way to do this, is by emphasising your achievements and all those skills that make you both unique and special. Try to establish yourself as an expert. Remember that in order to stand out, you need to be in the top 5-10% of all the candidates applying for the role.  While no one likes arrogance, employers DO want to see examples of your achievements that would make you the right person for the job.

Provide examples how you will add value to the organisation:

If you don’t believe that you have the skills to add value to the particular organisation then why is the hiring manager going to hire you?  It is not enough anymore just to present your skills and achievements but you need to prove to the reader that you are capable of adding value to the role and to the whole organisation. Providing examples of the added value expertise that you can offer should be highlighted in your cover letter to help differentiate your application as compared to others.

It is no longer good enough to sit down for 20 minutes, type your name at the top of the resume, write down your work history (including a few bullet points about your duties or responsibilities) and expect to be called for interviews. It just does not work that way anymore. Not only does your resume need to be 100% completely targeted toward the job you are applying for, but it also needs to be written for that particular job market. An accounting resume is different to a mining resume and they both need to be written accordingly. Most importantly, highlighting achievements is the number one rule of resume writing. An average resume will focus too much on the day to day duties and responsibilities. These duties are expected of the job candidate and while they are important (and do need to be in the resume), turning these duties into achievements is how to make your resume stand out. Five Myths About Job Searching:

#1: The smartest person always gets the job

Definitely not true – companies these days are more interested in the complete worker. Having brains is always an advantage, but it’s not the only thing that hiring managers are looking for. In today’s economy, an employer wants to know that, if required, you are able to complete a wide range of jobs. Having transferrable skills, a can do attitude and a willingness to learn and be involved in all aspects of the business is key to nailing the job interview.

#2: Direct experience is most important

Transferable skills are key. In certain industries the job specification may require direct experience, but in many circumstances being able to show that you have the skills to succeed is just as important. Do not get discouraged if you feel that you lack the right skills to get a new job. Concentrate on the value added skills that you have and highlight these skills on your resume and in the job interview.

#3: Dating a co-worker will lead to career doom

An urban myth. I have even heard of stories where dating the boss has resulted in career success (not recommended!). Always remember to perform your role to the highest quality and it does not matter who you decide to date! (Note – public displays of affection are a big no no! – this type of behaviour is best saved for non-work hours).

#4: Applying for jobs online is the only way to find a new job

Job searching online is one of many different approaches you should take. Before you even begin to apply for jobs, ensure that you have a professionally written resume. No matter how many jobs you apply for, it doesn’t matter if your resume is not selling your skills. With the growth of social networking online, sites such as LinkedIn can be a fantastic way to approach people who you typically could not just pick up the phone and call.

#5: Writing a cover letter is a waste of time

Every time you apply for a job you should accompany your resume with a targeted cover letter. The only exception is when the job specification clearly states not to send a cover letter. Most times a hiring manager will read your cover letter before opening your resume. If your cover letter does not shine, there is a good chance your resume won’t even be opened. You may have the greatest resume written by a professional resume writer, but it means nothing if your cover letter is letting you down.

Front Office Bankers Resume Writing

When it comes to resume/CV writing there is no magic formula to follow that will ensure your resume will be read. There are however clear dos and don’ts that will either add value to your resume or work in the negative by having your resume deleted. No matter if you’re a front office banker or part of the mailroom team, listing and identifying achievements and backing these achievements up with numerical examples is the number one way to make your resume standout.

Too many times a job candidate will focus much of their resume on standard day to day duties. For example every person on the trading desk knows how to “analyze data”, “liaise with clients” and “maximize opportunities”. These are soft skills which are expected. It does not enhance your resume as it does not tell the reader anything. For example when writing a resume for an equity trader it is no longer good enough just to list these soft skills. In order to effectively write a good resume you need to clearly identify your areas of expertise but most importantly present quantitative examples

Writing your resume is not about reinventing the wheel, it is about ensuring that you adequately highlight everything that is required to make sure that your resume is selected and you are given the chance to present yourself in the interview. Divide your resume into sections and concentrate on using bullet points to make the resume clear and possible for the reader to scan.

As a banker, your professional experience is the most important aspect on your resume and needs to be placed on page one. However in order to make your resume stand out above the competition I like to include a short career summary, an introduction (2-3 sentences) which adequately summarizes your career. For example:

“Masters of Business Administration with seven years experience as an equity trader. With a strong background in analysis, risk management and strategic planning, I have planned, coordinated, and performed diverse trading functions in various sectors.”

Following your short career summary is the most important aspect of your resume which is listing your top key achievements in bullet point (5-6 key achievements) with an emphasize of using “keyword” rich words (These are words which are mentioned in the job description or words which headhunters or recruiters are likely to search for in their database)

Remember, the most important aspect of listing these achievements is backing everything up with quantifiable results of your work. Using the equity trader as an example, part of your success is measured in numbers so ensure your main achievements by including quantifiable examples

‘Increased cash flow by $15 million by consolidating …..”

‘Revenue and income growth of 55% over a 12-month period, through ….”

“Key member of an elite trading team that generated more than $65 million by ….”

The final part of your resume presentation is your work experience, education and professional memberships. Again the most important aspect is providing examples to everything you write and incorporating achievements as opposed to just listing day to day duties. Always ensure that you provide dates on your resume and that the resume flows chronologically. The document needs to be as easy as possible for someone to read. The more difficult you make your resume to follow the more likely it will end up being deleted.

Do I really need a Cover Letter or is it a waste of time?

Unless you are being recruited by a family member, friend, or close acquaintance, every single hiring manager will want to look at your resume before they call you in for an interview.

I cannot stress enough how important it is to have a cover letter accompany your resume EVERY SINGLE TIME you send it in and to make sure that it’s tailored specifically to the job you’re applying for.

Think about it from a hiring manager’s point of view. They can receive hundreds of applications for a single job position that they need to fill in just a short amount of time. On top of their regular job duties, they need to sift through all of the applications and find the top 5% to call in for an interview. It’s just not possible for them to look at every single person’s application. So what do they do? They narrow down the field by using the easiest and fastest tool they have – first impressions.

Let’s relate this to a different topic – sports. You’re a coach and need to “recruit” the best players possible for your team…

You’re coaching a soccer team and need to pick 15 members for your squad out of a potential 100 and you only have 2 hours to do so. It’s impossible to take a good look at every single player’s skills in only 2 hours, so you need to quickly narrow your search before you can study the players further. In order to do so, and without knowing anything about the players, you’re going to rely on your first impressions to make the first cut.

Take a look at the players standing before you – are they all wearing proper soccer attire and equipment? Do they look excited and enthusiastic about being here? Think about it – if there’s someone dressed in a soccer uniform and cleats and another one wearing jeans, a t-shirt, and sandals, one of them definitely appears to be more interested in joining your team than the other. Building on that, and only considering first impressions, one looks a lot more capable than the other. While there may be a hundred explanations for this difference, it really doesn’t matter when you have a limited amount of time – the ones who don’t look interested are not going to make the first cut.

Consider the above situation and think about it from a hiring manager’s point of view. You have 50 applications before you and you need to call 5 people in for an interview. You have a limited amount of time to decide, so you need to eliminate some applications quickly. What can we see without even reading the details of each application? Some have cover letters along with the resume and some do not. The applications without cover letters are a little bit like the people showing up to soccer tryouts with jeans and no equipment. They make a terrible first impression – they don’t appear as interested as the other ones, so why should anyone bother with them?

Applications without cover letters are always the first ones discarded. The presence of a cover letter shows a genuine interest in a job position because you actually took the time to write it. The current economic climate is not exactly one that is overflowing with jobs; it’s not like companies are hiring for the sake of it. Make sure you show a hiring manager that you have taken the time to merely write a letter to show your interest in their job position. If you don’t bother showing an interest in them, the hiring manager will have no interest in you.

When Is The Best Time to Apply For Online Jobs?

The job application process is no doubt tedious and tiring for everyone. We’ve all been there – sifting through the various job ad postings, sending through resume after resume, and all we want to do is get the application process over with as fast as possible. Everyone tells you to at least take a few minutes to tailor your resume and cover letter to each job you apply for.

Personalizing your application materials no doubt increases your chances of getting a call back, but I’m also going to let you know that there is another way to increase your chances at getting that interview call, and it has absolutely nothing to do with who you are or with the quality of your resume and cover letter – it simply has to do with when you send through your materials.

I recently had a friend complain to me about getting no call backs at all. She had sent through personalized resumes and cover letters dozens of times and had not received one interview invitation. Sure, the job market is extremely tough in some areas at the moment, but to receive zero phone calls out of dozens was a bit alarming to me.

I asked her to show me her resume, and everything looked great. She told me about the sites she was applying through, and I saw no problem with that either. But she then told me about the application process itself, and this is where an important detail stood out – the time she was sending through her resumes.

Many job seekers, especially the already employed, use nights and weekends to send out the bulk of their applications, and this can sometimes put them at an immediate disadvantage. Anyone who’s worked in an office environment knows that Mondays are usually extremely hectic. Everyone’s trying to catch up on their emails and phone calls, and there usually isn’t a lot of time to spare, especially on things that are not urgent, like reading resumes. The first thing most people do when reading emails is prioritize and figure out what needs to get done sooner rather than later – resumes, especially ones sent days ago, usually fall into the “later” pile.

The point is that you want to be sure that your resume and cover letter are noticed. Sending them through on the weekend not only puts your email toward the back of the line chronologically, but it also puts it among the spam messages that have filled up the inbox, and you don’t want to accidentally get deleted.

Ideally, try to respond to job advertisements during the day, when someone is most likely to see it, let alone read it. If your only time to apply for jobs is on the weekend, at least try to send through your cover letters and resumes toward the later part of the weekend, preferably on Sunday evenings. You want your resume and cover letter to be one of the first things the hiring manager sees, not something that they see toward the bottom of their inbox that they will “get to later.”
